PRO number
A PRO number is the number an LTL carrier gives a shipment to track and bill it. The carrier assigns it, usually on a label stuck to the bill of lading and the freight, and it appears on every invoice, status update and claim. XPO's PRO numbers have 9 digits; Estes's have 10.
Who assigns it
The carrier. XPO's tariff says it will reference its 9-digit shipping number, referred to as a PRO number, on each invoice; Old Dominion's says the same of its own. Estes's bill of lading form has a box marked "Place PRO Label Here". TForce Freight adds a rule worth knowing: any shipment moved under a PRO number the carrier generated is subject to that carrier's rates, rules and limitations.
Worked example: one shipment, three numbers
| Number | Who creates it | What it is for |
|---|---|---|
| Purchase order (PO) number | The buyer | Matching the delivery to what was ordered |
| Bill of lading number | The shipper | The shipper's own record of the shipment |
| PRO number | The carrier | Tracking, the freight bill, and any claim with that carrier |
The carrier invoices against its PRO. If the payer needs its own references on the bill too, Old Dominion requires them on the bill of lading, or agreed in writing; when it has to chase an identifier that was not given, it charges USD 20 a shipment.
Where it matters
In a claim, above all. A US freight claim must contain facts sufficient to identify the shipment (49 CFR 370.3), and the PRO number is the one the carrier's own records are filed under. The same number links the delivery receipt, the freight bill and any inspection or reweigh.
The mistake people make
Chasing a shipment, or disputing a bill, by your own PO or BOL number alone. The carrier files everything under its PRO; quote it first and your reference second.
FAQ
PRO number: common questions
- What is a PRO number?
- The number an LTL carrier assigns a shipment to track and bill it. It goes on the bill of lading and the freight, usually as a label, and on every invoice the carrier sends.
- Who assigns the PRO number?
- The carrier. Each carrier has its own format — XPO's has 9 digits and Estes's 10 — and a shipment keeps the same PRO from pickup to the final invoice.
- Is the PRO number the same as the bill of lading number?
- No. The shipper creates the bill of lading number for its own records; the carrier creates the PRO number for its own. A shipment usually has both, and often a PO number too.
